Job title:   Sales Order Processing and Admin Assistant

Reports to:   Financial Controller

Staff reports:   None

Job purpose:

The primary purpose of this role is to ensure efficient management of customer orders. The holder will be responsible for the processing of orders; from receiving customer purchase orders and entering them onto the sales processing system, to ensuring that orders are correctly packaged and shipped. You will also be responsible for answering customer queries regarding orders/shipping and resolving any issues that arise. As a result, the role will require the holder to liaise confidently with customers and also across the company up to senior management level.

Primary responsibilities:

  • Ensure effective, accurate and prompt handling of customer purchase orders received from sales order entry and invoicing to picking and packing orders and arranging shipping through our courier network.
  • Raising proforma invoices as required.
  • Liaise with sales team regarding quotes and orders.
  • Oversee and assist with picking and packing of products for shipment.
  • Deal with customer queries relating to orders and shipping.
  • Regularly review and update all relevant procedures to ensure sales order processing and shipping is operating in the most efficient manner.
  • Liaise with couriers to ensure that shipping is carried out as effectively and efficiently as possible.
  • Maintain accurate stock data of products and raw materials, including batches and expiry dates, and recommend process improvements where appropriate.
  • Where necessary, undertake assembly of finished kits to maintain stock levels.
  • Liaise with manufacturing staff with regard to stock management as required.
  • Ensure that all stock is maintained in good condition, and that date-expired material is dealt with in a timely manner.
  • Ensure compliance with ISO9001.
  • Liaise with the US logistics facility to ensure that it is operating effectively.

Secondary responsibilities:

  • Assisting the Financial Controller with credit control.
  • In conjunction with senior management, develop reporting systems to effectively monitor key functions related to shipping and logistics, and provide monthly reports as required.
  • Any other duties as reasonably required by line manager

Skills and experience Required:

Essential

  • Proven administration skills, preferably in a sales or logistics environment.
  • Ability to self-manage especially with regards to execution, accountability and prioritisation.
  • Excellent attention to detail and demonstrable methodical working.
  • Customer focussed with a confident and polite telephone manner.
  • Able to work alone and as a positive team member.
  • Exceptional time management skills.
  • Ability to work under pressure to tight timelines.
  • Desire to develop the role in line with business objectives.

Desirable

  • Experience with Sage50/200.
  • Experience of working within an ISO9001 environment.

Job title:  Sales and Marketing Administrator

Reports to:   Marketing Manager

Job purpose:

To support the company sales and marketing activities to ensure any administrative matters are dealt with as efficiently and effectively as possible, and to provide support for other members of the Sales and Marketing team.

Primary responsibilities:

  • To maintain and update customer and company contact lists within company CRM system
  • To maintain and update customer contact lists within company website CMS
  • Ensure accurate and effective synchronisation between Kentico and CRM database
  • Assist with website lead handling and follow up utilising Kentico EMS and CRM as relevant
  • To prepare customer quotations for standard catalogue items
  • To manage sales & marketing material inventory
  • To manage shared email inboxes and assign customer enquiries to relevant team members
  • Coordinate conference/exhibition attendance, including registration, shipping of materials and related tasks
  • To assist with sales and marketing material purchasing, e.g. business cards
  • Provide customer support and offer advice about product and service selection
  • To provide cover for order processing and shipping functions
  • To provide cover for kit assembly procedures

Secondary responsibilities:

Coordinate all efforts with colleagues in the Sales and Marketing team, and other departments in the company, to ensure maximum efficiency
